Degree Audit Missing Courses

There are a number of reasons why a course is not displaying on the Degree Audit report as expected.

Use this tool to troubleshoot the problem. Information on how to update the student record is included.

Options

Transfer Credit Evaluation

Student took a course at another institution, and the course should count as something else.
Update the student's Transfer Credit Evaluation (TCE).

Pre-98 Evaluation

Degree Audit will only register coursework completed or posted to a student’s transcript Fall 1998 and later.

If a student has work that was completed or posted to their CSU transcript prior to Fall 1998, an Academic Advisor will need to complete a manual review of the student’s CSU transcript in order to have an accurate Degree Audit report.

Students must be on the correct catalog / GenEd system prior to sending over Pre-98 updates.

Please send Degree Audit AdComs for each requirement indicating partial or full completion based on the courses completed Pre-Fall 1998.

Incomplete Grades

Courses where an Incomplete grade is assigned will NOT display on Degree Audit for any requirement that requires a minimum grade (such as the "C" grade requirement for WAC).

Once the Incomplete grade is changed to the final grade, Degree Audit will pick the course back up, so long as the requirement was completed.

Multiple / Fourth Attempt

Fourth Attempt
Students have three attempts to complete a course (does not include instances a student withdraws). If a successful grade is earned on the fourth attempt, the passing grade is recorded on the transcript, but no credits for any attempt are earned.

Additionally, if a student repeats a course they earned a D in, and subsequently earns an F, the student is given no credit, and the F is calcuated into the GPA.

An academic exception is required when students are approved to count a fourth attempt to a specific degree requirement.

Repeating Courses graded "C" or Higher

COM 225 in the Journalism and Promotional Communication Major
Students must complete COM 225 (Media Writing) with a minimum grade of B- (B minus).

  • Students who earn a grade of "C" on their first attempt will need to repeat the course
  • Second attempt does not earn credit due to the repeat policy

An academic exception is required when students are required to earn a grade higher than a C, and they must repeat the course.
