Prior to Your Rental

PTS rental vehicles will only be issued to CSU students, employees, and authorized affiliates for official university use. Renters are required to complete the proper steps to become an approved driver before submitting a rental request. No persons under 21 years of age or without a valid driver license are permitted to operate a PTS rental vehicle.

No, renters are responsible for providing their own drivers for all trips, and all drivers must complete their driver approval prior to the rental period. There are no plans at this time for PTS to provide drivers for any rentals.

Currently, PTS has four, 12-passenger vans available for rent. If your department or student organization is in need of additional sizes or classifications of vehicle, let us know! Requests may be sent to transportation@csuohio.edu for future consideration. Pricing is based on each calendar day or partial day. Rentals must be returned by 11:59pm to avoid additional charges. Prices are subject to change. 

To become an authorized driver with PTS, a CSU student, employee, or authorized affiliate must complete the following steps:  

  1. Send a completed driving record check form to transportation@csuohio.edu. These should be submitted a minimum of 2-weeks prior to a requested reservation. Please note: in some cases, including MVR requests with an out-of-state license, it may be necessary for CSU's Department of Human Resources to run an in-depth screening. There is a $8 cost to run the background check this way, which is typically charged to the department or student organization's account. 
  2. Complete the online Driver Safety Program provided by PTS. 
  3. Submit a completed copy of the Van Safety Guidelines form provided by PTS.

Driver approval is valid for one full calendar year (for faculty/staff), and for one semester (for students).

The Department of Parking and Transportation Services reserves the right to deny authorization to utilize PTS rental vehicle based on the restrictions in the CSU Driving and Motor Vehicle Guidelines. Drivers will be asked to submit information for approval each fiscal year.

Reservations will always be approved on a first-come, first-served basis. Reservations can be requested by submitting a Rental Request Form to transportation@csuohio.edu, and must be made a minimum of 5 business days prior to the requested rental start date.

A submitted reservation request form does not guarantee a reservation. Once a request is submitted, the Transportation Coordinator will review and approve/deny the request within 2 business days.

Driver Approval

Driver approval is valid for 1-year for faculty/staff and 1-semester for students, and can be done in advance. This process must be started at least 2-weeks prior to a driver's first rental.

   ?  Motor Vehicle Release (MVR) form and Driver's License submitted to PTS.
   ?  Van Safety Guidelines completed, signed, and submitted to PTS.
   ?  Van Safety training completed through Vector portal (assigned after MVR turned in to PTS).

 

Reserving a Van

The following items need to be completed for each rental. Any listed drivers (primary or secondary) must be an authorized driver.

   ?  Rental Vehicle Request webform/document/spreadsheet submitted to PTS.
   ?  PTS will review availability and issue a rental agreement to be signed and returned.
   ?  Once the signed agreement is returned, PTS will issue keybox PIN's and van information.
   ?  Prior to leaving, renters must submit a signed Pre-Rental inspection form to PTS.

 

Returning a Van

Be sure to complete the following to avoid any ancillary charges:

   ?  Van should be resonably cleaned prior to return.
   ?  Van should be returned at the same fuel level as when it was picked up.
   ?  Keys should be returned to the Keybox. 
   ?  Submit photos of all four sides of the returned van to PTS.

Once Your Rental Period Begins

All rental vans are located in the PTS lot located underneath the Berkman Hall overhang on E. 22nd Street. Vans will be picked up from and and returned to this location. Keys are secured in a nearby keybox, and may be picked up and returned at any time. This allows both keys and vans to be picked up and returned, even if the PTS offices are closed.

While on campus, vans may freely use their designated spaces under Berkman Hall as well as Lot 54 and Lot 57. PTS rental vehicles parked in other lots or facilities are subject to the same rules and policies as campus visitors and must display an entry ticket or prepaid parking receipt on the vehicle dashboard while parked.

Renters found in violation of CSU Parking policies are subject to additional ancillary charges including parking costs, parking citations, event rates, etc.

Vans may use CSU garages provided they do not exceed the maximum clearance of a garage. Rental Van clearance is 7' 1".

WEX cards are available with each rental, and may be used to refuel the rented vehicles for added convenience. WEX card usage is optional, and renters are welcome to use other methods for refueling. Charges accrued on the WEX card will be billed directly to the renting department "at cost." There is no added surcharge to use the refueling card.

Since WEX cards are through CSU's account, there is a small tax deduction applied automatically when refueling at stations using WEX cards. This discount may not be seen on the pump, but will be applied to the renter's final statement of charges of all rental activity.

EZ-Pass transponders are included with each rental vehicle at no additional cost, and may be used on any toll plaza that accepts EZ-Pass payments, including out-of-state toll plazas. Charges accrued on the EZ-Pass will be billed directly to the renting department.

CSU vehicle insurance extends to all authorized drivers. In the event of an accident, a claim reimbursement may be charged back to the driver’s department or sponsoring organization as outlined in the Driving and Motor Vehicle Guidelines document. Specific instructions regarding accident reporting can also be found in the university's Driving and Motor Vehicle Guidelines document.
